Your subscription includes the AIDA device, ink and label shipments every 2 months, free replacement of the AIDA device if damaged or broken, a dedicated support team, access to the AIDA membership portal, and the AIDA App.

AIDA ships inside the United States, including Alaska, Hawaii, and Puerto Rico.

Every two months, additional blank labels and ink will be sent to your primary shipping address in the customer portal. At least 850 labels / month can be printed with these supplies, which is more than adequate for most ASC operating rooms.

The standard subscription to AIDA includes enough labels and ink to print 850 labels / month. For an additional monthly fee, you can add extra labels and ink to your AIDA subscription. While you can estimate the number of labels you will use, only after using AIDA for a couple of months will you know your actual usage. You can add/delete extra labels and ink to/from your subscription at any time through the online AIDA member portal.

Each AIDA subscription has a term commitment of 2 years. You may cancel the AIDA subscription and return your AIDA device during the initial 30-day period without a termination fee. If you cancel prior to the end of your term commitment, then you may be charged an early termination fee and you must return your AIDA device. The fee is prorated depending on your term commitment. At the end of your term commitment, your membership automatically renews on a monthly basis. If you decide to cancel after the end of your term commitment, you must return your AIDA device, but no cancellation fee will be charged. See Subscription Agreement for details.

At this time, we are unable to deliver to PO Boxes, including military addresses (ex: APO/FPO). To prevent any shipping delays of an AIDA device or ink and labels, please be sure to have your physical address in the United States listed as your primary shipping address in the customer portal.
Yes. However, every AIDA subscription on the same account must have the same shipping address. If you have multiple locations, create a separate account for each location.

Yes. Should you want to return your AIDA device there is a 30-day money-back-guarantee period, within which you can cancel your subscription at no cost to you. Note, to take advantage of the money-back-guarantee you must return your AIDA device within the first 30 days of receiving your AIDA device.

Any breakdown or failure of the AIDA device, including accidental damage. We will ship you a replacement unit via next business day shipping. Simply return the original AIDA device in the same box the replacement AIDA device came in with the included shipping label. There is no additional cost for this service. Deliberate damage and certain acts of God are excluded, like fire and flooding. See Subscription Agreement for details.

The AIDA member portal gives you access to manage your account, including shipping address and payment details. You can also check the status of ink and label shipments.

To keep your AIDA subscription active, you will be charged the subscription fee every month. The timing of your first monthly fee is indicated on your order confirmation. The next billing cycle begins 30 days after the AIDA device delivery.

No. The AIDA device must be returned when your subscription ends.

Many ASC’s are stand alone entities that do not have a pharmacy. They do not have a special department to manage their drugs. So they don’t have the resources to maintain a complicated drug formulary database in order for a computer labeling system to work.

AIDA utilizes the FDA NDC Directory. This is a publicly available database that is updated on a daily basis with every drug approved for use by the FDA in the United States. If the FDA has approved the drug, AIDA will recognize it and generate the proper colored label without any setup.

Out of the box, AIDA can recognize more than 100,000 drugs in use in the U.S. and generate a standards compliant label, that is easy to apply, and helps to eliminate medication mistakes.

If you have ever tried to read the lot number and expiration date from a 1ml single use vial, you know how difficult it can be to accurately record the lot number and check the expiration date. The letter O and the number 0 look the same in a lot number. How can AIDA know the difference?

AIDA learns. AIDA learns the valid lot number and expiration date pairs associated with a specific drug every time AIDA scans a 2D barcode. AIDA can only read a lot number and expiration date from a drug container if it has previously scanned a 2D barcode that contains this information. Any lot number or expiration date that AIDA reads is compared to known lot number / expiration dates to ensure it is read accurately.

The FDA has mandated the use of 2D barcodes on drug containers in the smallest individual container that is for sale. So some drug vials have 2D barcode on them that contain the lot number and expiration date. When AIDA scans a 2D barcode, it remembers the lot number and expiration. If AIDA then scans a 1D barcode of the same drug, it can now read the lot number and expiration date.

In order for AIDA to read lot numbers and expiration dates, the boxes the drugs come in should be scanned once. AIDA learns the lot number and expiration date, and then can recognize them, even without the 2D barcode in the future.

If the AIDA scanner has not previously learned any lot number / expiration date pairs for a specific drug, it will not try to read the lot number and expiration date when it scans. It will simply scan the drug and place it in the queue. The green check mark will not appear, as the expiration date has not been checked by AIDA.

1. Light Hood: AIDA has a low power LED (0.1 watt) that can be turned on in dark operating rooms to illuminate drug vials. The light is under a specially designed hood to prevent interference with others in the operating room.

The AIDA Label

1. Drug Name: AIDA automatically uses Tall Man Letters for all drug names as specified by the FDA and ISMP.

2. Color Coded: AIDA colors the label as specified in ASTM D4774, which specifies 15 different color patterns to be used with different classes of drugs.

3. Dilution Indication: If the drug is diluted, then this is indicated on the label with the abbreviation DIL in a square.

4. Dosage: The dosage of the drug.

5. Date and Time: This is automatically set to the time the label was printed. (Either in 24-hour or 12-hour format)

6. Initials of the preparer: These are entered in once when starting to use AIDA for the day.

7. Green Checkmark: If AIDA checks the drug expiration date and lot number for recalls then a green check mark is printed on the label.
